Article 15: How do I monitor Purchase Orders and track supplier confirmations?

What is PO monitoring and why is it important?

PO monitoring tracks the status of your purchase orders from creation to final delivery. It helps ensure suppliers deliver on time and allows you to take action when problems arise.

What confirmations do suppliers send?

Order Acknowledgment:

  • When: Shortly after receiving PO
  • Purpose: Confirms supplier accepts the order
  • Contains: Delivery dates, quantities, any changes to terms

Advanced Shipping Notification (ASN):

  • When: When goods are dispatched/shipped
  • Purpose: Provides tracking information and expected delivery
  • Contains: Shipment details, tracking numbers, delivery schedule

How to record supplier confirmations:

For Order Acknowledgments:

  1. Access PO (Transaction ME22N)
  2. Go to confirmations tab
  3. Enter confirmation details:
  • Confirmed delivery date
  • Confirmed quantities
  • Any vendor comments
  1. Save confirmation

For shipping notifications:

  1. Record shipment date
  2. Enter tracking information
  3. Update expected delivery date
  4. Note any shipping changes

How to monitor PO status:

Individual PO Monitoring:

  • Transaction ME22N: View specific PO details and confirmations
  • Check delivery status: See what's confirmed vs. delivered
  • Review dates: Compare promised vs. required dates

Mass PO Monitoring:

  • Transaction ME2L: List POs by vendor
  • Transaction ME2M: List POs by material
  • Use filters: Find overdue or problem orders

What to do when there are delivery issues:

Late Delivery Warnings:

  • Contact vendor immediately to understand delays
  • Request updated delivery schedule
  • Consider alternative sources if delays are significant
  • Update internal stakeholders about impacts

Quality or Quantity Issues:

  • Document problems in PO history
  • Work with vendor on corrective actions
  • Consider vendor performance rating impact
  • Update future source decisions based on performance
